    DC Quality Control Receiving Clerk

    Location: Aurora, Ontario
    Department: Receiving
    Reports to: Vice President, Distribution & Logistics
    Employment Status: Full-time (35 hours per week)

    Job Purpose

    The Distribution Centre Quality Control Receiving Clerk is responsible for ensuring the quality, integrity, accuracy and organized management of our inbound processes. The Quality Control Receiving Clerk will also complete required product audits for New Items & Seasonal Distributions. Tasks will also include receiving of products that are delivered to the Bulk Barn Foods Limited Distribution Center performing data entry into the Company database and identifying discrepancies between what was requested on a purchase order, the product stated on packing slip and the physical product that was received.

    Duties and Responsibilities

    Project/Task Management

    • Assist, as required by the business, with the tasks associated with the receiving clerical function. (Data entry, vendor scheduling, verifying discrepancies).
    • Assist with the assembly of any special product that is more intricate than normal or requires assembly, such as seasonal remainders allocations or marketing materials.
    • Responsible for reviewing and updating product pallet weights
    • Assist QC with testing product, releasing raw materials, reviewing and approving test results.
    • Assist QC with conducting Internal Audits to verify product quality specifications are met. Work with merchandising department, or on a discovery basis to isolate any product that may have quality concerns, which includes but is not limited to pack sizes, expiry or infestations.
    • Ensure product quality consistency with respect to new and existing products. Complete and pass quality audit on inbound seasonal distributions at time of receipt.
    • Log all quality and product concerns via email.
    • Liaison with DC and Buyers for quality control issues.
    • Coordinate the DC processes and procedures of product recalls, withdrawals and warnings, due to quality concerns.
    • Regular monitoring of product rotation in the Distribution Centre.
    • Maintain reports related to CFIA and Health & Safety for food safety inspections and fair labeling practices.
    • Responsible for auditing and receiving Bulk Barn store returns.
    • Review items held in Quality Bin on a daily basis and follow up where required.
    • Act as DC point of contact between the CFIA and/or local Health Department representatives and BBFL, handling all communication and advising EVP, VP DC and Manager, Merchandising of proceedings.
    • Update, maintain and proofread Merchandising/Distribution Centre Planning Calendar.


    • Thoroughly reviews own work and any work inherited from a colleague to ensure accuracy as it pertains to receiving documents and occasionally shipping documents.
    • Ensure the proper signing off for all goods received and shipped as it pertains to Bill of Lading documents.
    • Ensure integrity of data for all entries into the NAV system.
    • Ensure integrity of data for all entries ensuring backup/support documentation is attained and on hand at all times.


    • Communicate professionally, both verbally and in writing to internal colleagues and external vendors and their transportation companies.
    • Respond to external vendors and transportation companies within immediacy from time of initial contact.
    • Ensure regular updates and completion timelines are effectively communicated to management in advance of established deadlines.
    • Communicate regularly with the VP, Distribution and Logistics to offer feedback and identify areas of improvement.

    Problem Solving

    • Day-to-day management and resolution of issues within the team as required
    • Work with department managers and operational teams on the day-to-day management and resolution of common issues within your assigned internal customer/client teams.
    • Escalate complex issues and work with VP, Distribution and Logistics to resolve.

    Push For Results

    • Manage multiple competing deadlines in a fast past environment ensuring accuracy and quality of work produced by the team.
    • Conduct detailed reviews and follow up on team assignments to ensure defined timelines are met.

    Process Improvements

    • Develop, maintain and evolve department programs, processes and procedures in order to increase efficiencies while ensuring accuracy and work output quality.

    Detail Orientation

    • Thoroughly reviews own work and their teams' work to ensure accuracy.


    • Ensure all documents, programs, reports, and communications are accurate, print ready and meet Company and legislative Standards, in advance of implementation.


    • Effectively support your assigned internal customer/client teams in a timely manner in the achievement of operational goals.
    • Ensure integrity of data for all entries ensuring backup/support documentation is attained and on hand at all times.
    • Take responsibility and ownership of all assigned tasks.


    • Work collaboratively with colleagues and internal departments to build effective relationships to achieve departmental goals and objectives.
    • Partner with co-workers as required on daily and/or special tasks, to ensure deadlines and timelines are met to the standards set by the Company.

    Promotes and works to maintain workplace wellness, health and safety, through active compliance with all workplace health and safety policies and procedures.

    • High school diploma (General Educational Development) or equivalent
    • 1 - 3 years' clerical experience with data entry
    • 1 - 3 years' experience working under pressure to meet deadlines in a fast paced and dynamic environment with
    • Basic Knowledge of Microsoft Office Suite
    • Strong written and verbal communication skills
    • Intermediate Knowledge of Microsoft Navision (NAV), an asset
    • Ability to lift 20 lbs.
