    Receptionist

    Department: Human Resources
    Reports to: Manager, HR Programs & Administration
    Location: Aurora, Ontario
    Employment Status: Full time

    Job Purpose

    This position is responsible for providing professional and courteous customer service in response to all employees who call, walk-in and/or have scheduled appointments at the Corporate Head Office.

    In addition this position provides daily administrative support to various internal departments, as required.

    Duties and Responsibilities

    Communication

    • Welcomes visitors by greeting them in a professional manner, in person or on the telephone.
    • Transfers calls, answers or refers inquiries to the appropriate person in a professional manner.
    • Directs visitors by maintaining employee and department directories; giving instructions.
    • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
    • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation

    Project and Task Management

    • Responsible for administration of all operations relating to incoming and outgoing mail and courier packages including but not limited to distribution, arranging pickups, and tracking.
    • Distribute all incoming faxes and voice messages received on the general inbox to the appropriate department
    • Create and maintain an accurate record of employee access card including inventory and renewals.
    • Ensure reception coverage is in place during the hours 8:00 AM to 4:00 PM during breaks and lunch hours.
    • Administer and manage the Birthday Card Program.
    • Provide administrative support to internal departments, as required.
    • Maintain required internal contact lists.
    • Administer the Company's building access cards and inventory.
    • Administer Customer Service inbox including product inquiries, gift card inquiries, donation requests, and other issues, as required.
    • Update and maintain the Franchisee absence log and notify management of any upcoming absences via email.
    • Update and maintain the Purolator and registered mail logs.
    • Provide assistance to all internal and external customers and ensure calls are directed to the appropriate department.
    • Oversee the schedule of reception area meeting rooms to eliminate overlap and ensure availability.
    • Greet all internal staff and external clients who visit or contact the Company's corporate office.
    • Maintain the visitor's log.

    Detail Orientation

    • Ensure all communications used are checked for proper spelling and grammar and in compliance with Company Operating Standards.

    Accountability

    • Ensure that all external customers are provided a visitor's badge upon entry of the corporate office.
    • Ensure timely creation and processing of P.O.'s and expenses in compliance with Company Operating Policies and Procedures.
    • Ensure accurate and timely completion of all assigned tasks.

    Customer Focus

    Provide excellent customer service to both internal and external customers for general inquiries.

    Promotes and works to maintain workplace wellness, health and safety, through active compliance with all workplace health and safety policies and procedures.

    Any other duties as required.

    Qualifications

    Key Capabilities

    • 2-5 years' experience in reception and/or general administration
    • 2-5 years' experience working with Microsoft Office Suite
    • 1-3 years' experience in a customer service role
    • 2 -5 years' experience working in a professional corporate environment
    • 2-5 years' experience working with Microsoft Office Suite
    • Professional demeanor with strong interpersonal skills
    • Bilingualism (French, English), an asset
